Executive/Marketing Assistant

We are looking for an Executive/Marketing Assistant to work in our Fairhope, AL office. The successful candidate must be able to:
Provide administrative support to the COO
Answer phones, filing, organization, maintaining the COO's schedule
Coordinate travel arrangements and meetings
Meet with clients/teaming partners when needed
Coordinate administrative procedures, public relations, research and analysis of projects, customers and staff
Ensure the delivery of timely and accurate information for principles and staff
Review and analyze incoming media, correspondence, mail, submissions, and reports
Coordinate the preparation, production, and submission of weekly reports
Coordinate office procedures, ensuring deadlines are met and procedures are followed
Research and prepare reports, manuals and correspondence
Schedule appointments, run errands, prepare agendas and coordinate travel arrangements
Organize marketing information, entering and maintaining an informational database
Prepare press releases, company newsletter and event announcements
Write Technical and Price Proposals, Qualifications, Capability Statements, etc
Provide assistance in creating and enhancing the Company's marketing materials
Maintain marketing calendar and proposal tracking spreadsheets
Assist in design of marketing and promotional materials such as brochures, flyers, presentations, etc
Assist in promotional strategies and product development
Prepare registration forms for events and tradeshows, event agenda and invitations
Organize events for clients and staff (parties, dinners, luncheons, after-hours events and picnics
Other duties as may be assigned
Skills, Characteristics and Success Factors:
o Computer proficient with Microsoft Outlook, Word, Excel and PowerPoint.
o Previous experience with Adobe Illustrator, Photoshop and Acrobat X Pro are a plus but not required.
o Proposal writing skills and experience.
o Skilled in the areas of multi-tasking, organization, prioritization and time management.
o Strong communication and interpersonal skills.
o Self-motivated, confident, energetic and creative.
o Ability to work under stress and meet deadlines.
o Good content writing skills and minute attention to detail.
o Understands new technologies and the application of marketing principles.
o Comfortable giving and receiving constructive criticism.
o Team player who will meet or exceed team goals.
o Well dressed, very energetic and able to communicate on a high level.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
